Consolidation

The College will close Friday, November 23, 2012 and after the close of business on Friday, December 21, 2012, through Tuesday, January 1, 2013. Christmas Day and New Year's Day will be observed on Tuesday, December 25, 2012, and Tuesday, January 1, 2013, respectively.

The college will extend the consolidation to include Friday, November 23, 2012, thereby allowing effective shut down of energy systems from the close of business on Wednesday, November 21, 2012, to the reopening of business on Monday, November 26, 2012. Our main goal is to extract some energy savings during this period. There is also tremendous value in College Staff having this break for time with family and friends amid each busy year for Holyoke!

E Building will be open (since power plant and public safety personnel will continue to work around the clock). To account for these days, you may use your accumulated vacation, personal or compensatory time, take unpaid leave, or you may elect to work extra hours in advance and thereby make up the time. Employees who need or wish to work on this day will be assigned duties by Vice President Fogarty, in consultation with the appropriate supervisors. As with previous closings, work assignments may not be one's regular or even related duties. All work will be performed in E Building.

Ample opportunity for any make-up time required will be provided by supervisors. Make-up work may be retroactive to January 3, 2012, but must be approved by your supervisor. Non-unit professionals and classified staff must make up six days. Unit professionals do not have to make up the time for November 25 and thus, must make up five days. You must make up the time before November 2, 2012 unless your supervisor needs to have some of the make-up time worked after the closing because of potential backlogs in a department.

Time worked will be credited in accordance with applicable collective bargaining agreements and the management package.

Your supervisor will need to know how you plan to account for this time so it can be marked accordingly on the Weekly Attendance Sheet for the weeks ending November 23, 2012, and December 28, 2012 and January 4, 2013.

• If you wish to use a vacation day, personal day or compensatory time (classified and unit professional staff), you should fill out a Request for Leave Time form.

• If you wish to work, please notify your supervisor and he/she will make arrangements with Vice President Fogarty.

• If you wish to make up the time, that time should be made up before November 2, 2012. It will be recorded as "make-up" time.

Please note that make-up time is tracked separately from comp time. Make-up time will not be recorded and tracked in HR/CMS (Human Resources/Compensation Management System). You and your supervisor will be responsible for keeping accurate data regarding make-up time.

If you have any questions, please do not hesitate to contact the Human Resources Department
