Space Reservations

Interested in holding a meeting or event at Holyoke Community College? 

HCC facilities include a theater, classrooms, and meeting rooms. Spaces are available in a variety of sizes and configurations, and can accommodate 10 to 300 people (depending on the room). (Scroll down for photos.) Our 135-acre campus offers plenty of parking, and convenient access from I-91 and the Massachusetts Turnpike.

Catering is available through Aramark, HCC's food service provider for an additional fee. Click here to visit their website. As of April 1, 2024 we have acquired a new online reservation system that no longer requires account creation. Please click the link below to access the new system.

FEES:

The fees shown are for the use of facilities only.  The Hourly Rate will be discounted by 50% for non-profit organizations.

Outside users are required to provide proof of general liability coverage with minimum limits of $1 million per occurrence/$3 million aggregate naming HCC as an additional insured in order to receive a facility use confirmation.

For any events with attendees of 100 or more a campus safety officer is required at a rate of $75 an hour for all organizations.

In addition to the main campus, space is also available at HCC's Picknelly Adult & Family Education Center (PAFEC) in downtown Holyoke. Located on the 4th Floor of the Holyoke Transportation Center with a variety of meeting SPACES.  On-street parking is available.

Facility Use Policy

Availability for Educational, Recreational, and Civic Purposes

  • Holyoke Community College will open its facilities for educational, recreational, and civic activities to recognized responsible organizations, ensuring no interference with regular college activities, property damage, or depreciation without liability to the College or the Commonwealth of Massachusetts.

Indemnification 

  • Non-college users must indemnify and hold the Board and the College harmless against any claims for personal injury or damage to College property arising from facility use. They must also ensure facilities' maintenance equivalent to their initial condition.

Restrictions on Political Fundraising

  • College facilities are prohibited from use for political fundraising activities as per Chapter 55, MGL, Section 13 and 14.
  • In state, county, or municipal buildings, no demands, solicitations, or receipt of payment or gifts for political campaign purposes are allowed.

Use for Private Gain

  • Private gain by profit or non-profit entities or individuals is permitted only if all costs for facility use are covered.

Exceptions for Fundraising

  • Non-college groups are not allowed to use facilities for fundraising purposes. However, they may host programs with admission charges if they serve educational, civic, or charitable purposes, benefiting a substantial community group.

Compensation for College Personnel

  • When College personnel are required outside regular working hours, the group utilizing their services will pay fees at a rate of time and a half to facilities staff, IT personnel, and theater personnel.

Cancellation Policy

  • In the event of campus closure by the College, all activities for both college and non-college groups will be canceled.

Maintainers and Safety Personnel Assignment

  • The College may require one or more maintainers to be on duty at its discretion. Maintainer assignments will be made by the Director of Facilities.
  • For any events with 100 or more attendees a campus safety officer is required.  The group will pay a fee of $75 an hour for a safety officer.  Safety Officer assignments will be made by the Director of Campus Safety. 

Facility Preparation and Cleaning

  • Maintainers will open facilities at least half an hour before scheduled events and ensure thorough cleaning afterward to maintain readiness for the following day's use.

Decorations and Prohibited Items

  • The use of decorations or items affixed to walls, ceilings, windows, doors, etc., is prohibited without approval from the Director of Facilities. Open flames or candles are strictly prohibited.

Smoking Policy

  • Smoking is prohibited on the Holyoke Community College campus, including all buildings and outdoor spaces, to ensure a safe and healthy learning and working environment.

Food and Beverage Regulation

  • Bringing food or beverage onto campus requires specific permission from the Vice President for Administration and Finance.
  • Aramark has exclusive catering rights please visit their website for options.

Alcohol Consumption Regulation

  • Consumption of alcoholic beverages on College property is prohibited unless waived by the Vice President for Administration and Finance, following the approval of a Request to Serve/Provide Alcohol form at least 60 days prior to the event.

Supervision Requirement for Athletic Facilities

  • Utilization of athletic facilities necessitates the presence of an athletic supervisor

Parking Regulations

  • All parking on College-owned property must adhere to Holyoke Community College Parking Regulations.
  • Exclusive parking reservation for events held during class sessions is not permitted.

Non-Competitive Activities

  • College facilities cannot be used for activities directly or potentially competitive with any HCC program or activity.

Subleasing Prohibition

  • Approved applicants are strictly prohibited from subleasing the facility to other groups.

Advance Notice Requirement

  • Requests for facility usage must be submitted at least twenty days (20) prior to the intended use.

Cancellation Policy

  • Applicants may cancel an event with at least 24 hours' notice to the College. The College reserves the right to cancel or revoke events at any time, without cause or liability for damages.

Event Termination Time

  • All organizations must conclude their functions by 11:00 p.m., unless special permission is granted by the Vice President for Administration and Finance or designee.

Scheduling and Agreement Requirement

  • All groups or individuals using College facilities must complete a scheduling use and hold harmless agreement, serving as a permit for use and available for inspection during facility usage.

Payment and Services

  • Full payment is due two weeks before the event. Food and beverage services should be arranged with Aramark.

Liability and Damages

  • Any damages incurred during facility or equipment usage are the sole responsibility of the organization or individual. Holyoke Community College assumes no liability for injuries or damages caused by facility or equipment usage.

Insurance Requirement

  • The College may require a certificate of insurance or a hold-harmless agreement as a condition of application for facility usage.
